PARTS INVENTORY & PURCHASING AGENT

Full-Time | Multiple Companies & Business Lines

We are looking for an experienced and organized Parts Inventory & Purchasing Agent to manage parts inventory and purchasing across multiple companies, departments, facilities, and business lines.

This is more than a traditional parts clerk position. This role will take ownership of the company's parts purchasing, inventory control, vendor relationships, and parts availability to support our fleet, heavy equipment, transportation, solid waste, construction, and maintenance operations.

The successful candidate will be a proactive problem solver who understands that having the right part, at the right time, and at the right cost, is critical to keeping our operations running.

WHAT YOU'LL DO

  • Manage parts inventory across multiple companies and locations.
  • Purchase parts, supplies, and maintenance materials for trucks, trailers, heavy equipment, refuse equipment, and facilities. Work with supervisors or finance for approval on larger purchases within approval authority matrix.
  • Work directly with mechanics and maintenance personnel to identify and source parts.
  • Research OEM and aftermarket parts and identify cost-effective alternatives.
  • Negotiate competitive pricing with vendors.
  • Maintain relationships with parts suppliers, dealers, and manufacturers.
  • Monitor inventory levels and establish appropriate stocking levels.
  • Track purchase orders, back-orders, deliveries, returns, warranties, cores, and credits.
  • Verify inventory before placing new orders.
  • Maintain accurate electronic and physical inventory records.
  • Organize and maintain parts rooms and storage areas.
  • Identify obsolete, excess, and slow-moving inventory.
  • Help reduce equipment downtime caused by parts shortages.
  • Identify opportunities to reduce purchasing and inventory costs.
  • Coordinate with maintenance, operations, accounting, and management.
  • Develop and improve purchasing and inventory procedures.
  • Provide management with purchasing, inventory, and cost information.

WHAT WE'RE LOOKING FOR

  • Two years or more in parts, purchasing, inventory, fleet, or maintenance experience.
  • Experience with heavy equipment, trucks, trailers, construction equipment, or refuse equipment is highly preferred.
  • Strong parts identification and sourcing skills.
  • Strong organizational and recordkeeping skills.
  • Good computer skills and ability to learn inventory/purchasing systems.
  • Effective communication and vendor-management skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong attention to detail.
  • Ability to work independently and take ownership of responsibilities.
  • A problem-solving, solution-oriented mindset.

THE RIGHT PERSON WILL

  • Take ownership rather than wait to be told what to do.
  • Anticipate parts needs before they create equipment downtime.
  • Look for better pricing and purchasing opportunities.
  • Keep inventory accurate and organized.
  • Follow through on orders until they are received and properly processed.
  • Build strong vendor relationships.
  • Communicate problems early and bring solutions to management.
  • Understand that purchasing decisions directly affect company profitability and equipment availability.

WHY THIS POSITION MATTERS

This position plays an important role in keeping our equipment and operations moving. You will have the opportunity to build and improve the company's parts and purchasing system across multiple business lines while helping control costs and reduce equipment downtime.

Pay: $50,000.00 - $65,000.00 per year

Benefits:

  • Dental insurance
  • Flexible spending account
  • Health insurance
  • Paid time off
  • Retirement plan
  • Vision insurance
